1. Introduction
This Privacy Policy forms an integral part of the Terms and Conditions governing your use of the Platform and Website. It establishes the principles and practices relating to the collection, processing, storage, and protection of personal data obtained from Users, Candidates, and Visitors. Definitions of Users, Candidates, and Visitors are provided in the Definitions section.
Please note that this Privacy Policy does not govern human resources processes or the processing of personal data related to recruitment and hiring. Such processing is solely managed by the relevant User utilizing our Platform. Candidates are advised to review the privacy policy of the respective User for detailed information.
2. Definitions of Personal Data and Processing
“Personal data” means any information relating to an identified or identifiable natural person, where identification can be direct or indirect, including but not limited to identifiers such as identification numbers, or factors relating to the physical, physiological, genetic, mental, economic, cultural, or social identity of that person.
“Processing” of personal data means any operation or set of operations performed on personal data, whether or not by automated means, including but not limited to collection, recording, organization, structuring, storage, adaptation, alteration, retrieval, consultation, use, disclosure by transmission, dissemination or otherwise making available, alignment, combination, restriction, erasure, or destruction.
3. Categories of Data Subjects
3.1. Users
Access to and use of the Platform requires registration. Only registered Users are permitted to access and utilize the Platform. During registration, Users must accept the Terms and Conditions, thereby acknowledging that they have read and understood this Privacy Policy, which is provided alongside the Terms and Conditions.
The Platform is intended exclusively for business use. Users are therefore encouraged to provide only business-related contact information and refrain from submitting personal contact details.
During registration, Users are required to provide the following personal data: full name, business email, business telephone number, job title (headline), and credit card information. Uploading a profile image is optional. Users bear sole responsibility for the accuracy and completeness of the information provided. The Platform does not store credit card information; such data is securely handled by Stripe, a Level 1 PCI DSS Compliant Service Provider. Accordingly, the Platform is not subject to PCI DSS obligations.
Additional data collected during use of the Platform may include IP addresses, geolocation data, web browser details, usage activity (e.g., login/logout timestamps), and cookies in accordance with our Cookie Policy.
Users may terminate their subscription at any time. Upon termination, Users may request deletion of all their personal data, which will be processed either upon their request or automatically after a period of three (3) months.
Information related to employment advertisements posted by Users—including assessments, candidate requirements, and contact details—shall be publicly accessible to all Users and Visitors of the Website.
3.2. Employees
In cases where Users utilize the Platform as part of their Human Resource Information System (HRIS) or other employee management tools, personal data of Employees may be collected, processed, and stored. Employees’ personal data processed through the Platform may include, but is not limited to, full name, job title, contact information, employment records, attendance data, performance evaluations, and other employment-related information.
The processing of Employees’ personal data is conducted by the User acting as the data controller in accordance with applicable employment laws and regulations. The Platform functions solely as a data processor in this context and facilitates the management of employee information as directed by the User.
Employees’ personal data accessed or processed through the Platform is not publicly available and is subject to strict access controls to ensure confidentiality and compliance with data protection standards.
3.3. Candidates
Users may collect, process, and store personal data of Candidates (individuals applying for employment) through the Platform in the course of recruitment. Users act as data controllers with respect to Candidates’ personal data and determine the nature and scope of such processing, including what information is collected and how it is used.
Typical data collected from Candidates may include full name, job title, address, email, phone number, Skype identifier, education and employment history, curriculum vitae, and optionally a profile image. Additionally, Users may utilize assessments and AI-driven screening tools to evaluate Candidates and collect further data related to their qualifications and experience.
Candidates’ personal data is accessible exclusively to the User conducting the recruitment process and is not publicly available.
As stated above, this Privacy Policy does not govern the recruitment process or the processing of Candidate data therein; Candidates should refer to the relevant User’s privacy policy for further information.
3.4. Visitors
Visitors accessing the Website are notified about the use of cookies, as detailed in our Cookie Policy.
When Visitors contact us or download marketing materials such as e-books, tutorials, or guides, additional personal data is collected and stored, including full name, job title, email address, and phone number.
4. Legal Basis for Processing
We process personal data on the following lawful grounds:
Performance of a Contract: Processing is necessary to fulfill our subscription agreement with Users, to provide access to the Platform, maintain its availability and functionality, and facilitate billing.
Consent: For processing of optional data such as profile images, we rely on explicit consent provided by the individual.
Legitimate Interests: Processing may be conducted to ensure Platform security, inform Users of updates or maintenance, improve Platform functionality, and for direct marketing purposes, provided such interests do not override individual rights.
Legal Obligation: Processing is carried out where required by law, including responding to data subject requests or complaints.
5. Transfer of Personal Data
User and Candidate personal data may be disclosed to third-party subcontractors engaged to provide services related to the operation of the Platform. Such subcontractors are contractually obligated to safeguard data in compliance with applicable data protection laws. A list of subcontractors is available here.
In the event Users engage with third-party marketplace partners through the Platform (e.g., by sharing API keys), personal data may be shared with such partners to facilitate requested services. We disclaim responsibility for the processing activities of these partners.
6. Data Security
Personal data is stored in multi-tenant data environments with strict privacy controls implemented at the application level to prevent unauthorized access between users. Comprehensive testing protocols, including unit and integration tests, are regularly executed to verify the integrity of these controls, and deployment is blocked if tests fail.
7. Rights of Access and Correction
Upon written request, Users and Visitors will be informed whether their personal data is being processed. Subject to applicable laws, Users and Visitors may request correction or deletion of inaccurate or incomplete personal data. Requests to exercise these rights may be submitted via chat.
8. Data Retention and Deletion
Personal data will be retained until one of the following events occurs:
Deletion initiated by the User or a person authorized by the User (in cases where the User utilizes the Website or Services on behalf of another);
For Candidates, deletion of personal data by the User (employer) responsible for recruitment;
A written deletion request submitted by the data subject via chat;
Automatic deletion after one year of inactivity following expiration or cancellation of an active subscription.
Please note that Candidates’ requests to delete personal data do not affect data held by Users in relation to submitted applications, as we act solely as a data processor. Candidates must directly contact the relevant User (employer) to request deletion of such application data.
9. Data Portability
Pursuant to Article 4 of the Terms and Conditions, all personal data belongs to the User. Upon request, Users may obtain a complete export of their personal data in a machine-readable format (e.g., JSON), free of charge.
Data export will remain available until such data is deleted in accordance with Section 8 above.
10. Withdrawal of Consent
Where processing is based on consent, data subjects may withdraw such consent at any time by submitting a request via chat. Withdrawal shall not affect the lawfulness of processing conducted prior to the withdrawal.
11. Right to Lodge a Complaint
Data subjects have the right to lodge a complaint with the competent data protection supervisory authority regarding the processing of their personal data. In Croatia, this authority is the Croatian Personal Data Protection Agency (accessible at www.azop.hr).
12. Amendments to Privacy Policy
The Platform reserves the right to amend or update this Privacy Policy at any time. All modifications will be published on this Website and shall become effective upon posting.
